Group Trips & Retreats

1. Booking, Payments & Refund Policy

To reserve your place on a group trip or retreat, a deposit is required at the time of booking. Your remaining balance is paid according to the payment schedule outlined for your specific trip.

Deposits

All deposits are non-refundable. Your deposit secures your place and allows us to commit to venues, guides, and partners on your behalf.

Incremental Payments

Incremental payments made toward your trip balance are typically non-refundable. In the case of extenuating circumstances, refund requests will be reviewed on a case-by-case basis at our sole discretion. To submit a request, contact us at hello@aviacollective.com.

Within 30 Days of the Trip

No refunds will be issued within 30 days of the trip start date, regardless of circumstances.

Payments are non-transferable to other participants or future trips unless we agree otherwise in writing. We strongly recommend purchasing travel insurance at the time of booking to protect your investment.

We invite you to arrive with an open heart, a curious mind, and a willingness to explore. Approach each experience with mindfulness and respect for the transformative potential of shared travel.

Honor and Respect

By choosing to join us, you agree to honor the carefully curated experiences and activities planned for your trip or retreat. This includes respecting facilitators, hosts, guides, fellow participants, local communities, and the environments we visit, contributing to a safe and uplifting atmosphere for everyone.

Collective Energy

Every participant adds value to the collective experience. Please remain conscious of how your actions, words, and energy can support or detract from the group dynamic.

Self-Responsibility

You acknowledge that you are responsible for your own well-being, including your mental, emotional, and physical state. We encourage you to practice self-care, communicate your needs promptly, and seek assistance when necessary, honoring both yourself and the shared space.

Removal from a Trip

We reserve the right to remove any participant whose behavior endangers themselves or others, is unlawful, or significantly disrupts the group experience. No refund will be issued in such cases, and any costs arising from removal, including transportation and accommodation, are the participant's responsibility.

3. Voluntary Participation & Assumption of Risk

Voluntary Involvement

Your decision to participate in any Avia Collective trip or retreat is entirely voluntary. You acknowledge that you have not been coerced or otherwise pressured to join.

Activity Risks

Trip and retreat activities may include, but are not limited to, yoga, meditation, hiking, swimming, surfing, wildlife excursions, ground and air transportation, and other indoor or outdoor activities. Each of these carries inherent risks of physical injury or illness, and travel in foreign countries carries additional risks including differing safety standards, medical facilities, and infrastructure. You assume full responsibility for any and all risks associated with your participation.

4. Medical Fitness & Disclosure

Participant's Health

You confirm that you are in good physical, mental, and emotional health, and capable of safely participating in the activities included in your trip or retreat.

Disclosure of Conditions

You agree to inform Avia Collective of any medical conditions, injuries, allergies, dietary restrictions, or special requirements prior to your trip. Should you have any concerns, it is your responsibility to seek medical advice before attending.

5. Release of Liability

Liability Waiver

In consideration of being permitted to participate, you hereby release, waive, and discharge Avia Collective, its owners, employees, facilitators, partner venues, and agents from any and all claims or liabilities arising out of or related to your participation in a trip or retreat, whether such claims are based on negligence or any other cause.

Scope

This release applies to damages or injuries, foreseeable or otherwise, that may occur as a result of your participation in any trip activities, accommodations, or travel to and from the trip location.

Third-Party Providers

Avia Collective partners with independent venues, transportation providers, guides, and facilitators. We are not liable for the acts, omissions, or negligence of these third-party providers.

6. Indemnification

You agree to indemnify and hold harmless Avia Collective and its affiliates from any and all claims, demands, losses, damages, or liabilities, including attorney's fees, arising out of your actions, omissions, or involvement in a trip or retreat.

7. Personal Property

Avia Collective is not responsible for the loss, theft, or damage of any personal belongings. You are solely responsible for the safety of your possessions throughout your trip.

8. Emergency Medical Treatment

In the event of an emergency, you grant permission to Avia Collective and its facilitators to seek medical treatment on your behalf. You understand that you are responsible for any medical expenses incurred.

9. Travel Insurance

We strongly recommend purchasing comprehensive travel insurance within two weeks of booking, including coverage for trip cancellation, medical treatment, emergency evacuation, and personal belongings. Travel insurance is your best protection in the event you are unable to attend for reasons outside our refund policy.

10. Photography & Media Release

By participating in a trip or retreat, you grant Avia Collective the right to capture and use photographs, audio, or video recordings that may include your likeness for marketing, promotional, or educational purposes without compensation. If you prefer not to be photographed or featured, notify us in writing before your trip and we will make reasonable efforts to accommodate your request.

11. Itinerary Changes & Cancellations by Us

We reserve the right to modify itineraries, accommodations, activities, or facilitators when circumstances require, including weather, safety concerns, or availability. Changes of this nature do not entitle participants to a refund.

In the rare event that Avia Collective cancels a trip in full, participants will be offered a transfer to a future trip or a refund of payments made, excluding any non-recoverable third-party costs.

12. Legal Age & Competency

You affirm that you are at least 18 years of age and fully competent to enter into this agreement. If you are under 18, a parent or guardian must provide written consent and accompany you unless otherwise agreed in writing.

13. Governing Law

This agreement shall be governed by the laws of Costa Rica. Any disputes arising out of or in connection with this agreement shall be resolved exclusively in the courts of Costa Rica.

14. Acceptance of Terms

By booking a trip or retreat with Avia Collective, submitting a deposit, or participating in any trip activity, you acknowledge that you have read these Terms & Conditions thoroughly, understand their contents, and agree to abide by all of their terms.
